US Embassy Kigali F1 interview day guide. What to expect from arrival in Kacyiru, through security and biometrics, to your decision at the consular window.

US Embassy Kigali F1 interview day is shorter than most students expect. From the moment you step through the gate to the moment you walk out with a decision, the whole process often takes less than two hours. The interview itself is usually three to five minutes. But the experience can feel intense because nothing about it is familiar. This guide walks you through exactly what happens, in order, so nothing on the day surprises you.

Step 1: What to Wear and What to Bring

Dress smart casual. You are not going to a wedding, but you are not going to a market either. A button-down shirt with clean trousers works well. A simple dress or blouse with a skirt or trousers also works. Closed shoes. Nothing that draws attention away from your face and your answers.

Bring only what you need

  • Your passport, and any old passports if you have them
  • Form I-20
  • DS-160 confirmation page
  • Appointment confirmation from usvisaappt.com
  • MRV fee receipt from Access Bank Rwanda
  • SEVIS fee payment receipt from fmjfee.com
  • Admission letter
  • Financial documents such as bank statements, sponsor letters, and affidavit if relevant
  • Academic transcripts and certificates
  • A small folder to keep everything organized

Leave non-essential items at home. Bags, laptops, large items, and anything you do not need will only slow you down at the security checkpoint.

Step 2: When to Arrive in Kacyiru

The US Embassy is in Kacyiru, Kigali. If your appointment is at 8:00 am, plan to arrive by 7:15 am at the latest. Traffic in Kigali is usually manageable in the morning, but a 15 to 30-minute buffer protects you from anything unexpected.

The embassy receives visa applicants at the consular entrance, located near the roundabout. If you arrive at the wrong gate, for example the entrance near the embassy employee parking lot, do not panic. Ask the security guards to direct you. They will point you to the correct entrance.

A small group of applicants usually waits outside the consular entrance before security screening begins.

Step 3: The Security Checkpoint

A security guard at the gate calls applicants for screening in small groups, usually five to seven people at a time. The order generally follows your appointment time in the system. Listen for your name.

When it is your turn, you go through the security checkpoint. Here is what happens.

  • You leave all electronics with security, including phone, tablet, charger, and headphones
  • You leave any other metal items
  • The guard usually asks for an ID, such as your national ID, school ID, or another photo ID, to attach to your belongings
  • You walk through a metal detector
  • A guard may pat you down or scan you with a handheld detector

The ID step matters. When you come back after the interview, security will use it to verify your identity before returning your phone and other items. Without an ID, returning to collect your belongings can be slow.

Stay calm. Security guards do this hundreds of times a day. The screening is routine.

Step 4: Walking Into the Consular Section

After security, you walk through the embassy grounds toward the consular section. There is another short security checkpoint at the consular building. You will pass through one more metal detector.

From there, you enter the consular section.

Step 5: The Two Waiting Areas

US Embassy Kigali F1 applicants generally pass through two waiting stages.

First waiting area

Sometimes applicants wait in a seating area just before the consular section. Usually around ten people sit here at a time.

Second waiting area

Once you are allowed deeper into the consular section, you enter a smaller waiting area, usually with five or so applicants. From this area you can see and hear what is happening at the interview windows. You will hear officers making decisions on the spot. Some applicants are told their visa is approved. Others hear that the officer is unable to grant the visa that day. This is normal, and hearing it can be jarring if you are not expecting it.

Use the wait to breathe and review your fit story one more time in your head. Do not pull out documents and re-read them. You have done the work. Trust it.

The three interview windows

There are typically three windows where visa officers conduct interviews. Each window has a glass barrier with small openings to allow you to speak, and a microphone to make sure you can hear the officer clearly.

You do not choose your officer. An assistant will direct you to a window when it is your turn.

Step 6: The Assistant Officer and Fingerprinting

Before the main interview, an assistant visa officer collects your information and gathers your documents so the interviewing officer has them ready. The assistant usually asks a few short questions to confirm your identity.

  • What is your full name?
  • What is your father's or mother's name?
  • What type of visa are you applying for?

After that, the assistant asks you to wait briefly. When the interviewing officer is ready, you are called forward for fingerprinting. You place your thumbs and other fingers on the scanner one set at a time. This is routine and takes less than a minute.

Then the interview begins.

Step 7: The US Embassy Kigali F1 Interview Itself

The interview is short. Most F1 visa Rwanda interviews are between three and five minutes. The officer asks questions in a brisk, direct way.

Typical questions to expect

  • Where will you study?
  • What will you study?
  • Why did you choose this school?
  • Who is paying for your education?
  • What does your sponsor do?
  • What will you do after graduation?

Speak clearly. Look at the officer through the glass. Answer the specific question that was asked. Do not over-explain. If you do not understand a question, politely ask the officer to repeat it.

Do not lie. The officer is trained to detect inconsistency. Honest answers, even imperfect ones, are stronger than rehearsed answers that do not match your real situation.

The officer makes a decision on the spot.

Step 8: US Embassy Kigali F1 Outcomes — Approval, Refusal, and Administrative Review

There are three common outcomes at the US Embassy Kigali F1 interview window.

Approval

If your visa is approved, the officer usually keeps your passport and tells you when to expect it at the DHL office in Kigali. You leave the embassy without your passport but with a clear next step.

Refusal

If your visa is refused, the officer hands back your passport with a written refusal notice. You can apply again, especially if you have new information or stronger documents that address the reason for the refusal. A refusal today is not a permanent decision.

Administrative review

Sometimes the officer needs more information before making a final decision. This is called administrative review. There are two versions.

  • The officer keeps your passport and asks you to wait while they verify details from your university, your financial institution, your sponsor, or your social media
  • The officer returns your passport and lets you know that your case is under administrative review and will be decided later

Administrative review can take a few days to several weeks. Stay calm and check your usvisaappt.com profile and your email regularly.

Step 9: Passport Pickup at DHL

When your visa is approved, your passport is sent to a designated DHL office in Kigali. You will receive instructions on how to schedule a pickup once the embassy hands the passport over to DHL.

Watch your email and your appointment portal. When the pickup is ready, do the following.

  • Schedule your DHL pickup appointment
  • Bring your ID for verification
  • Check your visa on the spot before leaving to confirm your name, date of birth, and visa class are correct

If anything on the visa is wrong, raise it immediately. Corrections are easier to handle while you are still at the DHL office.

After Interview Day

If your F1 visa is approved, you can now book your flight, confirm your housing, and prepare for your move. Coordinate with your school's international student office about arrival dates, orientation, and any pre-arrival forms.

If your visa is refused, give yourself a few days to absorb the outcome before you decide on next steps. Many students apply again successfully after refining their story, strengthening their financial documentation, or addressing the specific concern raised by the officer.
